Instead of simple priorities, create a weighted priority system: Priority Score = Impact + Urgency + Effort (inverted) Then sort by score. This gives you a real priority list, not vibes-based task picking.

Big workspaces? Create a Settings or Constants database. Store: – Default durations – Priority weights – Category names – Team capacity Then pull them into formulas and rollups. Makes large systems so much easier to maintain.
